Updating Assets Identifiers in Bulk

Overview

The "Asset Identifiers Bulk Updater" spreadsheet allows you to add, update, or delete identifiers on Albums, Tracks, Videos, and Works in bulk. Each row targets one identifier on one asset.

⚠️

Warning: Leaving the "Asset Identifier Value" column empty on a row will delete the corresponding identifier from the asset. This action cannot be undone from the spreadsheet. Verify your data carefully before importing.

⚠️

Important: Copy the template to your own Google Drive before starting by opening it and selecting "File > Make a Copy". Downloading the file locally will remove dynamic helpers such as dropdown menus and data validation. Do not reuse a copy from a previous import without verifying that the column structure is still current.


Spreadsheet Structure

The template contains three tabs.

All data must be entered in the "Assets Identifiers" tab only.


Columns

The "Assets Identifiers" tab contains five columns. Columns marked with an asterisk (*) are mandatory.

Getting the Reprtoir Identifiers

The "Asset Reprtoir Identifier" column requires the UUID assigned by Reprtoir to each asset. This value is not entered manually but exported from the workspace.

  1. Open the asset list you want to update (Albums, Tracks, Videos, or Works) in the left navigation menu under "Catalog Management".
  2. Select the assets you want to process.
  3. Export the list and retrieve the "Reprtoir Identifier" column.
  4. Paste the values into the "Asset Reprtoir Identifier" column of the spreadsheet.

Asset Types and Accepted Identifiers

The "Asset Type" column accepts the following values: Album, Track, Video, and Work.

The "Asset Identifier Name" column accepts different values depending on the asset type declared on the same row.

Add, Update, or Delete Logic

The "Asset Identifier Value" column controls whether the import adds, updates, or deletes the identifier on the asset.

Asset Identifier ValueResult
FilledThe identifier is added if it does not exist, or updated if it already exists.
EmptyThe identifier is deleted from the asset.
⚠️

Warning: This spreadsheet allows empty values in the "Asset Identifier Value" column. In such a case, the identifier of the asset would be erased.


Preparing the File

  1. Open the "Other - Asset Identifiers Bulk Updater - Template (Reprtoir Public)" and select "File > Make a Copy" to save it to your own Google Drive.
  2. Export the Reprtoir Identifiers of the assets you want to update from the relevant list in the workspace.
  3. Open the "Assets Identifiers" tab in the template.
  4. For each row, select an "Asset Type" from the dropdown.
  5. Optionally fill in the "Asset Name" column for reference.
  6. Paste the corresponding "Asset Reprtoir Identifier" value.
  7. Select the "Asset Identifier Name" from the dropdown. Verify that it is valid for the declared asset type.
  8. Enter the identifier value in the "Asset Identifier Value" column, or leave it empty to delete the identifier.

Exporting the File

Before importing into Reprtoir, export only the "Assets Identifiers" tab as a CSV file. Importing the full Google Sheets file is not supported.

  1. Open the "Assets Identifiers" tab in your Google Sheet.
  2. Click "File" in the top menu.
  3. Hover over "Download".
  4. Select "Comma Separated Values (.csv)".

The exported file will contain only the active tab. Do not rename the file before importing.


Importing the File

  1. Click "Catalog Management" in the left navigation menu.
  2. Click "Spreadsheet Importer".
  3. Click "New Spreadsheet" and select "Assets - Identifiers Update".
  4. Upload the exported CSV file.
  5. Start the process.
  6. Review the results. If errors are reported, correct the file and upload it again from step 4.
  7. If no errors are reported, the import is complete. Open the affected assets in the workspace to verify the changes.

Error Reference

ErrorDescription
Invalid Asset TypeThe value in "Asset Type" is not one of the accepted types: Album, Track, Video, Work.
Could not find asset of type [type] with Reprtoir IdentifierNo asset of the declared type matches the provided Reprtoir Identifier. Verify that the UUID is correct and that the asset type matches.
Invalid Identifier Type for asset of type [type]The identifier selected in "Asset Identifier Name" is not valid for the declared asset type.
Invalid identifier format for [identifier type]The value provided in "Asset Identifier Value" does not match the expected format for that identifier type (for example, an ISRC with an incorrect structure).

Limitations

  • The "Asset Reprtoir Identifier" must be exported from the workspace. It cannot be constructed manually.
  • Each row targets a single identifier on a single asset. To update multiple identifiers on the same asset, add one row per identifier.
  • Leaving "Asset Identifier Value" empty permanently deletes the identifier from the asset.
  • The identifier name must be valid for the declared asset type. Using an incompatible identifier will cause an import error on that row.
  • The template must be used as a Google Sheet. Exporting as Excel (.xlsx) is not officially supported and may cause compatibility issues.
