Spreadsheet Templates List

What are Spreadsheet Templates?

"Spreadsheet Templates" are predefined Google Sheets files used to import new Albums, Tracks, Videos, Works, Products, CRM data, Contracts, and Royalties into Reprtoir. Each template contains a fixed structure of headers and controlled values that must remain unchanged for successful import.

These templates define the exact fields that Reprtoir can ingest and ensure that imported data is consistent, structured, and compatible with the platform.


Template Structure

All Spreadsheet Templates follow the same structure and contain at least three tabs:

Instructions

Provides general information, usage rules, and guidance for completing the file.

Data

The only tab where you must enter your metadata. This tab contains all template columns, including mandatory fields, optional fields, and controlled values.

Reference

A list of controlled values and allowed options for selection fields. Always refer to this tab to ensure that the values you enter are recognized during import.


Using the Templates

To use a template properly:

  1. Open it in Google Sheets.
  2. Select “File > Make a Copy” to save it to your own Google Drive.
  3. Fill your metadata in the Data tab.
  4. Export the Data tab in CSV format when ready to import it into Reprtoir.

Best practices

  • Never rename or modify the column headers.
  • Never delete, move, or reorder any columns.
  • Never introduce new fields outside the allowed methods (custom Tags or custom Identifiers).
  • Do not use merged cells or custom formats
  • Validate with a small import before scaling to large batches

Important Note

  • [1] We do not recommend creating orphaned Tracks (i.e. Tracks not associated with an Album), except for users who exclusively use Reprtoir for music sharing.
  • [2] Column mode supports up to 10 contributors per Work.
  • [3] Row mode supports unlimited contributors. Enter Work metadata on the first row only, then list additional contributors below without repeating metadata.

Royalty Matching Identifiers

To match your assets with royalty statements, some templates require additional identifier columns. Use the corresponding reference page to find the supported identifiers and their exact column names:

Important Note

  • Contract Templates are designed for contracts with a single Rights-Holder. If your contract involves multiple Rights-Holders, you must create it directly in the Workspace.

Identifiers per Template

Some royalty providers use alternative identifiers such as ECAD codes, catalog numbers, or YouTube Asset IDs. When these identifiers do not appear in the default templates, you must manually add the required columns.
