Royalty Matching Identifiers
What are Royalty Asset Identifiers?
Royalty Asset Identifiers are codes that allow Reprtoir to match royalty statement lines with the correct items in your catalog. These identifiers can belong to any asset type:
- Albums
- Tracks
- Videos
- Works
- Products
Without identifiers, Reprtoir cannot automatically determine which asset a statement line refers to. Identifiers provide the technical link that enables accurate royalty processing.
How matching works when importing royalty statements
When you import a royalty statement, Reprtoir analyses each line and looks for one or more identifiers. The system then checks whether the same identifier exists in your catalog.
If an identifier matches an asset:
- The statement line is linked to that asset
- Splits and recoupments can be applied
- Royalties can be calculated
If no identifier matches:
- The line remains unmatched
- You must correct the asset metadata or update the identifier accordingly
For accuracy, Reprtoir always prefers identifier-based matching over text-based matching such as Titles or Artist names.
Identifier types used in Royalty Accounting
Reprtoir supports multiple identifier families across all asset types.
Albums
- UPC or EAN
- Provider specific album codes
Tracks
- ISRC
- Provider specific track codes
Videos
- YouTube ID
- YouTube Asset ID
Works
- ISWC
- CMO proprietary Work IDs
- Administrator or publisher specific identifiers
Products
- EAN or GTIN
- Catalog Number
- SKU or retail platform identifiers
Each identifier type corresponds to the identifiers commonly used by royalty providers in their statements.
How Reprtoir decides which identifier to use
Reprtoir follows these rules when matching statement lines:
- Exact identifier match
If a statement line contains a UPC, ISRC, ISWC, or any provider specific identifier, Reprtoir attempts a direct match against your catalog.
- Multiple identifiers for the same asset
Some assets may have several identifiers because different providers use different codes. Reprtoir stores all identifiers and uses whichever appears in the statement.
- Multiple assets with the same identifier
If two assets share the same identifier:
Reprtoir cannot determine which asset is valid
The line is not matched
You must correct the catalog metadata
- Missing identifiers
If the identifier does not exist:
No match is possible
Spreadsheet Importer or asset metadata must be updated
Why identifiers require prefixes in Spreadsheet Importer
In Spreadsheet Importer, some columns use a prefix such as:
ALBUM | UPC Code
TRACK | ISRC Code
WORK Identifier ISWC
PRODUCT Identifier SKU
These prefixes indicate the asset type. Since Spreadsheet Importer templates can contain multiple asset types (for example the Albums and Tracks template), the prefix is the only way to know which metadata field belongs to which type of asset.
Without the prefix, Reprtoir would not know whether a given identifier should be applied to an Album, a Track, a Work, or a Product.
Best practices for identifiers in Royalty Accounting
Always store every identifier used by your royalty providers
Always refer to the Royalty Identifier Reference Tables before importing catalog metadata
Always populate UPC and ISRC whenever possible
Add all provider specific identifiers if a provider uses custom codes
Ensure identifiers have no extra spaces or formatting anomalies
Test matching using a small royalty statement before full processing
