What is Contract and Asset Association?

Contract and Asset Association is the operation that links Contracts Money Out to catalog Assets such as Tracks, Videos, Works, or Products.

This association is a mandatory step for royalty accounting.

A Contract Money Out that is not associated with Assets cannot generate royalties, regardless of how well its splits are defined.

In Reprtoir, Contracts define "who" gets paid and "under which rules", but Assets define "what" generates revenue.

Only the association between both allows the system to calculate royalties.


Why Asset Association is Critical

Associating Contracts with Assets is the point where legal agreements become operational.

This step determines:

  • which Contracts apply to which Assets
  • how revenues are distributed when an Income is processed
  • which Rights Holders accrue balances
  • how future recalculations and corrections behave

An incorrect or missing association results in missing, incorrect, or misallocated royalties.


Supported Asset Types and Contract Templates

Contracts Money Out can be associated with Assets depending on their template.

Reprtoir supports the following associations:

  • Label Contracts

    • Tracks
    • Videos
  • Publisher Contracts

    • Works
  • Merchandising Contracts

    • Products
  • Other Contracts

    • Not associated with Assets

The Contract template strictly defines which Asset types can be linked.

A Contract cannot be associated with an incompatible Asset type.


Where Asset Association Takes Place

Asset association is performed from the Catalog Management section.

To access it:

Open the navigation menu on the left, click the "Catalog Management" icon, locate the "Assets" section, and open the relevant list:

  • "Tracks"
  • "Videos"
  • "Works"
  • "Products"

Associating Contracts with Assets Step by Step

◼ 1. Selecting Assets

From the Asset list:

  • Select one or multiple Assets
  • Or use multi selection with keyboard shortcuts

Once selected:

  • Right click
  • Or click the three dots action menu
  • Then click "Edit"

This opens the bulk edit panel.


◼ 2. Linking Contracts

In the edit panel:

  1. Open the "Royalties" tab
  2. Locate the relevant Contract field:
    • "Money Out Label Contracts" for Tracks and Videos
    • "Money Out Publisher Contracts" for Works
    • "Money Out Merchandising Contracts" for Products
  3. Add one or more Contracts from the list

Multiple Contracts can be associated with the same Asset.


Understanding Adjustment Rates

When associating a Contract to an Asset, Reprtoir applies an Adjustment Rate.

The Adjustment Rate modifies how the Contract splits apply for this specific Asset only.

What Adjustment Rates Do

Adjustment Rates:

  • scale the Contract Percentage Rate Base
  • do not modify the Contract itself
  • apply only to the selected Asset

Example:

  • Contract split: Rights Holder receives 50 percent
  • Adjustment Rate: 50 percent
  • Effective split on this Asset: 25 percent

This mechanism allows:

  • partial ownership scenarios
  • shared masters
  • catalog acquisitions
  • co production and co ownership structures

Important Rules About Adjustment Rates**

  • Adjustment Rates are applied before royalty calculation
  • They are evaluated per Asset, not per Contract
  • They do not affect other Assets linked to the same Contract
  • They are fully auditable and visible in calculations

Incorrect Adjustment Rates are a common source of royalty discrepancies and must be used deliberately.


◼ 3. Saving the Association

Once Contracts and Adjustment Rates are defined:

Click the "Save" button.

The association is applied immediately.

From this point forward:

  • all future Incomes affecting these Assets will use this configuration
  • royalty calculations will reflect the associated Contracts and rates

Impact on Royalty Calculations

When an Income is processed:

  • Reprtoir identifies the Assets generating revenue
  • Associated Contracts are retrieved
  • Adjustment Rates are applied
  • Royalty splits are calculated
  • Accounting Operations are generated
  • Contract Balances and Rights Holder Balances are updated

Asset association is therefore upstream of all royalty logic.


Changes and Reprocessing Considerations

Changing Contract associations or Adjustment Rates:

  • does not automatically recalculate past Incomes
  • requires reprocessing to affect historical data
  • may impact balances, statements, and payments

Any modification should be handled carefully, especially in production environments.
