CWR Sequences
What are CWR Sequences
Every CWR file you export must include a sequence number. This number is part of the CWR standard and ensures that the receiving society can process your files in the correct chronological order. It prevents duplicates, conflicts, and rejections.
A sequence is unique to each Sender/Receiver combination. This means that if you deliver files to multiple societies or partners, each relationship has its own independent sequence.
How Sequences Work
- The first file sent to a recipient in a calendar year starts at 1.
- Each subsequent file increases the number by 1 (2, 3, 4, β¦).
- At the beginning of a new calendar year, the count resets to 1.
Example:
- File 1 β Sequence number 1
- File 2 β Sequence number 2
- File 3 β Sequence number 3
- On January 1st of the next year β Sequence resets to 1
π If a sequence number is missing or duplicated, the receiving society may reject the file.
Automatic Sequences
Reprtoir automatically generates and maintains sequence numbers for you:
- Each time you export a file, the system assigns the next available number for that Sender/Receiver pair.
- You donβt need to manage this manually unless you have specific continuity requirements.
Manual Sequences (Optional)
In some cases, you may need to align Reprtoir with an existing numbering sequence already in use with a society or from a previous system. For that, you can create or adjust sequences manually in the settings.
π Manual setup is optional and only required if:
- You are migrating from another system and need to continue the same sequence.
- A society explicitly requires you to start from a specific number.
To configure a manual sequence, go to: Settings β Parameters β CWR Sequences β "Add a CWR Sequence"
Enter the Sender, the Receiver, and the starting number you want to use.
Best Practice
If you donβt have specific requirements, simply rely on the automatic sequences. They ensure compliance with the CWR standard without additional effort.
