Entering Rights Data

Once you understand the logic of ownership vs. collection, controlled vs. uncontrolled shares, and worldwide vs. territorial rules, the next step is to enter your data correctly in Reprtoir.

This page explains the fields you must complete, the best practices to follow, and the validations you should always check before exporting in CWR.


Adding Rights to a Work

To add Rights to a Work, go to the navigation menu located at the left of the Workspace, click on the "Catalog Management" icon, browse to the "Assets" section, and click on the "Works" list.

Open the Work you want to update, click on the "Rights" tab and click the white "Edit" button at the top right.

👉 You can also add Rights in bulk. In the "Works" list, select several Works, right-click, and choose "Edit". This allows you to create or update Rights for multiple Works at once.

A pop-up window will open to enter the necessary rights data for the selection.

Ownership or Control Share

Indicate the global percentage that your company owns or controls. This field is optional and only serves as internal documentation. It is never used in CWR-related exports.

Worldwide Ownership and Collection Shares

This is where you actually build the Rights for the Work by declaring contributors, roles, ownership, and collection rules

ContributorContributor: Person (Composer, Author, etc.) or company (Publisher, Sub-Publisher, Administrator, etc.) involved in the work.
RoleRole: Specific role of the contributor in the work (Composer, Author, Publisher, Sub-Publisher, Administrator, etc.).
Contr.Controlled: Indicates whether your company controls this contributor’s rights. Tick your Organization and other Contributors you control.
MechMechanical Rights %: Percentage of mechanical rights assigned to this contributor.
Mech OrgMechanical Rights CMO: Collective Management Organization to which the contributor is affiliated for mechanical rights.
PerfPerformance Rights %: Percentage of performance rights assigned to this contributor.
Perf OrgPerformance Rights CMO: Collective Management Organization to which the contributor is affiliated for performance rights.
SyncSynchronization Rights %: Percentage of synchronization rights assigned to this contributor.
Sync OrgSynchronization Rights CMO: Collective Management Organization managing synchronization rights (if applicable).
C. MechCollection Mechanical Worldwide %: Percentage of mechanical rights collected worldwide for this contributor.
C. PerfCollection Performance Worldwide %: Percentage of performance rights collected worldwide for this contributor.
C. SyncCollection Synchronization Worldwide %: Percentage of synchronization rights collected worldwide for this contributor.
AgreementAgreement Number: Some CMOs (e.g., SACEM) record the sub-publishing contract between Sub-Publisher and Publisher to prevent fraud. If your CMO does not require an agreement number, leave this field empty. Otherwise, enter the contract number.

Once filled in, to save the new Track, click the orange "Save" button at the bottom right of the pop-up window. The new Track will be opened in a new panel and displayed in the "Tracks" list.

Click the grey "Cancel" button to cancel the action.


Best Practices

  • Always claim ownership of the controlled shares of the work.
  • Optionally declare ownership of uncontrolled shares (for transparency only).
  • Optionally declare collection of controlled shares worldwide.
  • Optionally declare collection of controlled shares by territory.
  • Never declare collection for uncontrolled shares.

These optional declarations depend on the level of detail you wish to send to the recipient (CMO/PRO/MRO or partner).

Validation Checklist

  • Percentages must always add up logically.
  • Roles and CMO/PRO/MRO entries must comply with CWR standards.
  • Use Reprtoir’s recommended field mapping, not assumptions based on other CWR tools.

Every software handles CWR differently. Do not rely on what you were used to in other tools. Always follow the instructions and examples provided in Reprtoir. If in doubt, or to validate your data before submission, please contact our support team.


Bulk Editing

Reprtoir provides tools to simplify rights management at scale:

  • Bulk addition of Territories — for Sub-Publishers and Administrators to quickly apply territorial collection rules.

These features allow you to save time, avoid repetitive data entry, and ensure consistency across your catalog.
