CWR Export
Creating a CWR Export
To generate a CWR export, go to Catalog Management → Works, select the works you want to export, right-click, and choose Export as CWR. A configuration form will appear where you define the parameters of your delivery:
- Version — Choose the CWR version required by the receiving society (2.1 or 2.2).
- Encoding Mode — Usually UTF-8, especially if works contain special characters.
- Transaction Type — Typically NWR/REV (New Work Registration / Revised Registration). Works that already have an accepted ACK will be exported as revisions automatically.
- Send As — Your sender code, which identifies you in the exchange.
- Receiver Code — The code of the society or partner receiving the file.
- Sequence Number — Automatically incremented per sender/receiver combination.
- Type of Shares — Choose whether to export ownership only, or ownership and collection.
- Territories & Selection Mode — Define whether the export covers all territories or specific ones, and whether matches must be strict.
- Priority Flag — Optional, used if the society explicitly requests priority handling.
Once everything is set, click Export. Reprtoir will generate the CWR file according to your configuration.
Following Up
After sending your file, always wait for the society’s ACK response. This confirms whether your submission has been accepted or rejected. Import the ACK back into Reprtoir to keep your data aligned with the society’s official records.
📘 Tip: Always start with a one-work test before a full delivery. This ensures your format, codes, and splits are understood correctly by the society.
